How to Write a Professional Job Application Email
When an employer asks you to apply by email, the message itself becomes part of your first impression. A clear subject line, short introduction, relevant evidence, and correctly named attachments make it easier for a recruiter to review your application.
Write a specific subject line
Use the exact job title and any reference number from the listing. A subject such as Application - Customer Support Specialist - Ref 204 is easier to find than Hello or Job application. Follow the employer's requested format even when it differs from your preferred style.
Open with the role and your strongest match
Start by naming the job and briefly explaining why your background fits. Mention one relevant result, project, or skill instead of repeating your entire resume. The first two sentences should give the reader a reason to continue.
Make attachments easy to use
Name files clearly, such as Ayesha-Khan-Resume.pdf and Ayesha-Khan-Portfolio.pdf. Use a text-based PDF unless another format is requested, check that links open without special permissions, and attach only the documents the employer needs. Never send an editable file containing private notes or unrelated personal information.
Close with a simple next step
End with your phone number, location or time zone when relevant, and a polite invitation to discuss the role. Proofread the company name, job title, attachments, and links before sending. A short, accurate email is more effective than a long message filled with general claims.
